Horizon Recruitment Inc. is currently seeking a Document Controller for one of our growing clients in the energy sector.  Our client is a world leader in their field and is seeking a dynamic individual to join their team to support a rapidly growing project portfolio.


Initially a 12 month contract, this opportunity has the potential for extension or permanent work in the future.

 

Job Description:

The Project Document Controller will be responsible for the establishment of policies related to project specific information management.  This role will create guidelines to train and support project managers on effective information management and documentation both on site and in a corporate head office.  As the ideal candidate you will ensure that project information and documents are managed effectively through the full information management cycle.

 

Responsibilities:

  • Execution of the company’s document control processes inclusive of document creation, issuance of execution copies, archival, retention and destruction of documentation in accordance with requirements.
  • Ensure document management systems are adequately documented, followed, and maintained including audits to demonstrate conformance to corporate procedures and project requirements.
  • Identify and drive continuous process improvements and enhancements, including actively seeking methods to reduce cycle times.
  • Control the creation and modification of Controlled Records using an electronic registry (excel)
  • Manage the issuance of Controlled Records as per the distribution matrix.
  • Maintain the integrity of the Distribution Matrix through regular audits and updates
  • Communicate with external vendors and contractors for receipt, review cycles and issuance of document submittals, as-built packages, close out documents and QAQC Packages
  • File and organize, electronic documents and digitize hard copy records as required
  • Participate in Engineering Kick-Off Meetings
  • Report on operational performance by identification, monitoring, and trending of documentation metrics
  • Ensures strong working relationships with all departments and third-party suppliers
  • Support the implementation of the incoming EDMS. This may include updating work processes, procedures and manipulating existing datasets for importation into the new

Requirements:

  • A graduate degree in engineering, or information management
  • At least 7 years’ experience in a document controls position
  • Superior verbal and written communication abilities
  • High attention to detail is essential for success in this role
  • Excellent critical and conceptual thinking skills
  • Proficiency with information management software. MS Project, Sharepoint etc.
