JUST HR is recruiting for an HR Operations & Onboarding Specialist to help build and strengthen a growing HR function from the ground up. This newly created role will serve as the operational foundation of the HR team, ensuring employee information is accurate, onboarding programs are consistent, and HR processes are scalable as the organization continues to expand across multiple locations and business lines. The successful candidate will play a key role in creating the systems, standards, and administrative structure that support long-term growth and employee success.
Responsibilities
- Manage the day-to-day administration of the HRIS, maintaining accurate and up-to-date employee records.
- Develop and maintain standardized workflows and checklists for employee lifecycle events, including hiring, promotions, leaves, and terminations.
- Produce recurring HR reports and dashboards to support workforce planning and leadership decision-making.
- Monitor data quality and implement processes to improve HR data integrity.
- Participate in evaluating future HR technology needs and support system enhancements or migrations.
- Design and manage a structured onboarding program that creates a positive and consistent employee experience.
- Develop onboarding materials, templates, and documentation that can be used across multiple business units and locations.
- Coordinate onboarding activities with internal stakeholders to ensure new employees are set up for success from day one.
- Gather feedback and identify opportunities to improve onboarding effectiveness.
- Maintain HR templates, employment documentation, and standard correspondence.
- Ensure employee records and documentation are maintained in compliance with employment standards and company policies.
- Support HR initiatives including performance reviews, compensation processes, and policy updates.
- Respond to routine employee inquiries and escalate matters when required.
- Document HR procedures and contribute to the development of an internal HR operations manual.
- Partner closely with HR, payroll, and recruitment teams to improve efficiency and consistency across people processes.
Requirements
- 3-6 years of progressive HR experience with a strong focus on HR administration, onboarding, or HRIS management.
- Hands-on experience working with an HRIS platform; experience with BambooHR is considered an asset.
- Strong attention to detail and a process-oriented approach to work.
- Excellent written communication skills with the ability to create HR documents, templates, and employee communications.
- Proven ability to manage multiple priorities and work independently.
- Comfortable operating in an environment where processes and systems are being developed and refined.
- Post-secondary education in Human Resources, Business Administration, or a related field.
- CPHR designation, or progress toward obtaining it, is considered an asset.
- Experience within marine, construction, industrial, resource, or related sectors is beneficial but not required.
- Experience supporting multi-site operations is an asset.
- Strong organizational, problem-solving, and relationship-building skills.
Remuneration
- Base salary: $85,000 - $95,000
- Comprehensive benefits package
